Verkada Visitor Management System
Ensuring the safety and security of our students and staff is our highest priority. Through the Verkada Visitor Management system, it will enable us to better manage and track visitors during the check-in to check-out process in our school buildings.
What is the Verkada Visitor Management System?
Verkada Visitor Management System provides a seamless experience during the check-in and check-out process for our visitors. It strengthens our security by cross-referencing a visitor’s government-issued ID (US state-issued driver’s license) with national criminal databases and sex offender registries. If a matching record is found, the Verkada Visitor Management System alerts our designated school personnel for further review. Visitors with no matching records receive a printed badge, which they are required to wear throughout their visit.
How does Verkada Visitor work?
Upon entering a school, visitors will use the Verkada Visitor app on the iPad at the front desk or vestibule to check in. Visitors will check in directly on the iPad by selecting their “Guest Type” (Parent/Guardian, Vendor, Volunteer, and Pre-Approved Guests only), entering their phone number and scanning their US state-issued driver’s license on the iPad. If no matching record is found, a check mark will appear, and a visitor badge that includes a photo, the name of the visitor, time and date of the visit, and the guest type will be printed. In the event of a matching record, Verkada Visitor alerts our designated school personnel for further review.
Does the School/District have the right to screen all visitors?
Yes, school officials need to know who is in the school building and the purpose of their visit is to maintain the safety and security of our staff and students.
What if I am just dropping off something for my child at the office?
If you are dropping off an item for your child, you may leave it on the designated table in the vestibule. Please ensure the item is clearly labeled with your child's full name and their homeroom teacher. This allows for a convenient and contactless drop-off without needing to enter the main office.
However, if you need to deliver any time-sensitive information or important documents, we kindly ask that you go inside the main office. In these instances, visitor screening will be necessary before entering.
What if I am picking up my child at the office?
The same screening process may apply.
What types of IDs will work in Verkada Visitor?
US state-issued driver’s license only. No passport or other forms of ID are accepted.
What other information is the school taking from driver’s licenses?
Only the visitor's full name and date of birth are extracted from the US state-issued driver’s license to search national criminal records databases and sex offender registries for matching records. The results of the search remain confidential and are not shared with any other third parties. The third-party database provider deletes the information used to conduct the search once completed no more than up to 24 hours.
What does a visitor do if he/she does not have a government-issued ID?
Visitors without a US state-issued driver’s license should speak with the designated main office or district personnel at the office.
Is an ID card scan necessary each time a person comes into the building?
Unless pre-approved, visitors will be required to show their US state-issued driver’s license during their visit. They will have the option to have the system retain their information for 90 days without showing their ID. When this option is selected, visitors will only be required to enter their contact information, such as their name and phone number. This expedites the process for subsequent check-ins while still maintaining a heightened level of safety.
What visitor information is stored in the Verkada Visitor database?
When a security screen comes back without a matching record, Verkada immediately deletes the personal data used to run the security screen, including driver’s license information. In the event of a human-verified and confirmed matching record, you will receive a message to speak to the main office or district personnel. The matching data (name, date of birth, and ID scan) may be retained in the Verkada Guest system for up to 90 days. For the vast majority of visitors whose information does not have matching records, their scanned name, date of birth and ID scan are immediately removed from our database.
What is the checkout process for visitors leaving the building?After your visit is over, you can simply click on the provided checkout link that was included in your welcome text message sent to your phone, or you may sign out using the “End Visit” button on the same iPad you used to check in.
Will the Verkada Visitor System be used for after-school activities?
Currently, this system will be used during the school day.
How does Verkada Visitor keep its database up to date?
Verkada’s third-party data provider aggregates records from local and state–level US registered sex offender registries. These datasets are typically refreshed on a monthly basis.
